Inventory Reports
Inventory reports give you a detailed picture of stock levels, movement, adjustments, and fulfilment across your organisation. Go to Reports from the left sidebar, then select Inventory from the Report Category list.
Inventory Summary
The Inventory Summary report shows the quantity sold, purchased, and currently available for each item across all warehouses for a selected period. Use it for a bird’s-eye view of your entire stock position.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Inventory Summary.
- Set an As of date and any additional filters (Warehouse Name, Mode of Stock Tracking, Stock Availability).
- Click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the inventory item.
- SKU: Stock Keeping Unit used to identify the item.
- REORDER LEVEL: The minimum stock level at which a replenishment order should be placed.
- QUANTITY ORDERED: Total quantity on open purchase orders for the item.
- QUANTITY IN: Total quantity received into stock via bills or purchase receives during the selected period.
- QUANTITY OUT: Total quantity despatched via invoices or shipment orders during the selected period.
- STOCK ON HAND: Current physical stock available across all warehouses.
- COMMITTED STOCK: Quantity reserved against confirmed sales orders.
- AVAILABLE FOR SALE: Stock on hand minus committed stock: the quantity available to fulfil new orders.
- IN-TRANSIT: Quantity currently in transit between warehouses via transfer orders.
- USAGE UNIT: The unit of measurement used for the item (e.g., pcs, kg, box).
Committed Stock Details
The Committed Stock Details report lists all confirmed sales orders for a selected period, showing the sales order number, line items, and quantities reserved. Use it to see exactly what stock is locked against open orders before planning replenishment.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Committed Stock Details.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- TRANSACTION#: Reference number of the sales order that has committed stock against it.
- ITEM NAME: Name of the item with committed (reserved) stock.
- COMMITTED STOCK: Quantity of the item reserved for that sales order.
Inventory Aging Summary
The Inventory Aging Summary report shows how long you have been holding each item in stock, measured in configurable aging intervals (days or weeks). Use it to identify slow-moving and stale stock before it becomes a write-off.
Scenario: Zylker Manufacturing has been receiving complaints about dead stock tying up warehouse space. Bailey generates the Inventory Aging Summary report to identify items that have been sitting in the warehouse for more than 15 days so the team can plan a clearance sale or return the items to the vendor.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Inventory Aging Summary.
- Set aging intervals and any additional filters, then click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the inventory item.
- 1 - 3 DAYS: Quantity of stock held for 1 to 3 days.
- ASSET VALUE (1 - 3 DAYS): Monetary value of stock held for 1 to 3 days.
- 4 - 6 DAYS: Quantity of stock held for 4 to 6 days.
- ASSET VALUE (4 - 6 DAYS): Monetary value of stock held for 4 to 6 days.
- 7 - 9 DAYS: Quantity of stock held for 7 to 9 days.
- ASSET VALUE (7 - 9 DAYS): Monetary value of stock held for 7 to 9 days.
- 10 - 12 DAYS: Quantity of stock held for 10 to 12 days.
- ASSET VALUE (10 - 12 DAYS): Monetary value of stock held for 10 to 12 days.
- 13 - 15 DAYS: Quantity of stock held for 13 to 15 days.
- ASSET VALUE (13 - 15 DAYS): Monetary value of stock held for 13 to 15 days.
- > 15 DAYS: Quantity of stock held for more than 15 days.
- ASSET VALUE (> 15 DAYS): Monetary value of stock held for more than 15 days.
Stock Summary
The Stock Summary report provides a consolidated view of stock on hand, reorder levels, and stock value per item. Use it to identify items approaching their reorder level so you can raise purchase orders before running out.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Stock Summary.
- Set filters as needed, then click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the inventory item.
- SKU: Stock Keeping Unit of the item.
- OPENING STOCK: Stock quantity at the start of the selected period.
- QUANTITY IN: Total quantity received into stock during the period.
- QUANTITY OUT: Total quantity despatched from stock during the period.
- CLOSING STOCK: Stock quantity at the end of the selected period.
Stock Counts
The Stock Counts report lists all stock adjustment records created through the Stock Counting process, showing the counted quantity, the system quantity, and any variance. Use it to reconcile physical counts with book stock after completing a stocktake.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Stock Counts.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- ITEMS: Name of the item that was counted.
- ITEM SKU: SKU of the counted item.
- COUNTED TIMES: Total number of times the item was included in a stock count during the period.
- MATCHED TIMES: Number of counts where the physical count matched the system quantity.
- UNMATCHED TIMES: Number of counts where a discrepancy was found.
- ADJUSTMENT REASON: Reason recorded when a stock adjustment was made following an unmatched count.
Assembly Details
The Assembly Details report shows a log of all assembly transactions for composite items, including the quantities assembled, the components consumed, and the dates of assembly. Use it to track production activity and component usage.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Assembly Details.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- TRANSACTION#: Reference number of the assembly transaction.
- ASSEMBLY NAME: Name of the composite item that was assembled.
- QUANTITY ASSEMBLED: Number of units of the composite item assembled.
- COMPONENT NAME: Name of a component item consumed in the assembly.
- QUANTITY CONSUMED: Quantity of the component consumed to produce the assembled units.
- DATE: Date on which the assembly was completed.
- STATUS: Current status of the assembly transaction (e.g., Confirmed).
- TOTAL COST (BCY): Total cost of the assembly in your base currency.
Stock Movement
The Stock Movement report shows every inward and outward stock movement for each item during a selected period, including the source transaction, date, and quantity moved. Use it to audit the complete stock trail for any item.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Stock Movement.
- Set a Date Range and Mode of Stock Tracking filter, then click Run Report.
This report includes the following columns:
- TRANSACTION DATE: Date on which the stock movement occurred.
- TRANSACTION NUMBER: Reference number of the transaction that triggered the movement.
- ITEM NAME: Name of the item that moved
- TRANSACTION: Type of transaction, for example Invoice, Bill, Transfer Order, or Stock Adjustment.
- QUANTITY: Quantity of stock that moved.
- MOVEMENT TYPE: Direction of the movement: Inward (stock received) or Outward (stock despatched).
- SOURCE: Origin location, warehouse, or entity of the movement.
- DESTINATION: Target location, warehouse, or entity of the movement.
Inventory Adjustment Summary
The Inventory Adjustment Summary report shows a summary of all stock adjustments grouped by reason and date. Use it to understand patterns in stock discrepancies and monitor the impact of adjustments on overall stock levels.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Inventory Adjustment Summary.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- REFERENCE NUMBER: Unique reference number of the stock adjustment.
- DATE: Date on which the adjustment was made.
- STATUS: Current status of the adjustment (e.g., Confirmed).
- INVENTORY ADJUSTMENT REASON: Reason selected when the adjustment was created.
- ADJUSTMENT TYPE: Type of adjustment: Quantity or Value.
- QUANTITY INCREASED: Total quantity added to stock in this adjustment.
- QUANTITY DECREASED: Total quantity removed from stock in this adjustment.
- VALUE INCREASED: Total monetary value added by the adjustment.
- VALUE DECREASED: Total monetary value removed by the adjustment.
Inventory Adjustment Details
The Inventory Adjustment Details report shows every individual stock adjustment transaction, including the item, warehouse, quantity adjusted (positive or negative), reason, and date. Use it to review each adjustment individually or export for an audit.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Inventory Adjustment Details.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- REFERENCE NUMBER: Unique reference number of the stock adjustment.
- DATE: Date on which the adjustment was made.
- STATUS: Current status of the adjustment (e.g., Confirmed).
- INVENTORY ADJUSTMENT REASON: Reason selected when the adjustment was created.
- ADJUSTMENT TYPE: Type of adjustment: Quantity or Value.
- PRODUCT NAME: Name of the item that was adjusted.
- QUANTITY ADJUSTED: Quantity added or removed. Positive values indicate an increase; negative values indicate a decrease.
- VALUE ADJUSTED: Monetary value of the adjustment.
Replenishment Task Details
The Replenishment Task Details report shows all replenishment tasks generated by the system, including the item, required quantity, source warehouse, and task status. Use it to monitor which replenishment tasks have been completed, are pending, or are in progress.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Replenishment Task Details.
- Set filters as needed, then click Run Report.
This report includes the following columns:
- REPLENISHMENT#: Unique reference number of the replenishment task.
- ITEM: Name of the item to be replenished.
- WAREHOUSE: Warehouse where replenishment is required.
- STATUS: Current status of the task (e.g., Open, Completed).
- ORDER TYPE: Method of replenishment: Purchase Order or Transfer Order.
- REORDER LEVEL: Stock level at which the replenishment was triggered.
- MAXIMUM STOCK LEVEL: Maximum stock quantity configured for the item.
- PREFERRED VENDOR: Vendor configured as the preferred supplier for this item.
- SOURCE WAREHOUSE: Source warehouse for replenishment (applicable for Transfer Order type).
- AVAILABLE FOR SALE: Quantity available to fulfil sales orders at the time the task was created.
- QUANTITY TO REPLENISH: Quantity to be ordered or transferred to restore stock to the desired level.
Packing History
The Packing History report shows all packages created during a selected period, including the package number, associated sales order, status, tracking number, and quantity. Use it to track fulfilment progress and verify despatch records.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Packing History.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- PACKAGE#: Unique reference number of the package.
- DATE: Date on which the package was created.
- QUANTITY: Total quantity of items included in the package.
- TRACKING NUMBER: Shipping carrier tracking number assigned to the package.
- SALES ORDER#: Reference number of the sales order associated with the package.
- STATUS: Current status of the package (e.g., Packed, Shipped, Delivered).
Shipment Details
The Shipment Details report shows all shipments recorded during a selected period, including the shipment number, carrier, tracking details, associated sales order, and delivery status. Use it to monitor despatch activity and track deliveries in transit.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Shipment Details.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- SHIPMENT NUMBER: Unique reference number of the shipment.
- SALES ORDER#: Reference number of the associated sales order.
- PACKAGE NUMBER: Package reference number included in the shipment.
- TRACKING NUMBER: Carrier tracking number for the shipment.
- SHIPMENT DATE: Date on which the shipment was despatched.
- EXPECTED DELIVERY DATE: Estimated delivery date to the customer.
- DELIVERED DATE: Actual date the shipment was delivered.
- SERVICE NAME: Shipping service used (e.g., Express, Standard).
- CARRIER: Shipping carrier handling the delivery (e.g., FedEx, UPS).
- STATUS: Internal status of the shipment record.
- SHIPMENT STATUS: Delivery status as reported by the carrier (e.g., In Transit, Delivered).
- SHIPPING CHARGE: Cost charged for the shipment.
Inventory Turnover By Quantity
The Inventory Turnover By Quantity report shows how many times each item’s stock was completely sold and replaced during a selected period. Use it to identify fast-moving items that need frequent restocking and slow-moving items that may need pricing or promotional attention.
To generate this report:
- Go to Reports from the left sidebar.
- Select Inventory from the Report Category list.
- Click Inventory Turnover By Quantity.
- Set a Date Range and any additional filters, then click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the inventory item.
- OPENING STOCK: Stock quantity at the start of the selected period.
- CLOSING STOCK: Stock quantity at the end of the selected period.
- QUANTITY SOLD: Total units sold during the period.
- AVERAGE QUANTITY: Average of opening and closing stock during the period.
- TURN OVER RATIO: Number of times stock was completely sold and replaced (Quantity Sold รท Average Quantity).
- AVERAGE TURNOVER DAYS: Average number of days to sell through one full cycle of stock.
