After exploring Zoho Forms, the Kingdom of Chess team realized they could solve all 3 problems within a single platform and connect it to the tools they were already using.
1. A Registration Form that does the heavy lifting

Kingdom of Chess embedded a registration form directly on their website. Parents fill in their details like child's name, age, and chess experience and the data moves automatically. There's no export, no copy-paste, no manual hand off.

This matters more than it might seem. When a counselor picks up the phone already knowing a child's name, age, and whether they're a beginner or an intermediate player, the conversation starts from a completely different place.

2. No more duplicate leads

One of the quiet frustrations of any lead management system is duplicates. A parent fills out a form twice. A counselor calls the same family twice. The data gets messy, and trust erodes.
Zoho Forms' Upsert function addressed this directly for Kingdom of Chess. If a parent submits the same details more than once, the system automatically resolves the duplication, keeping only the most recent, accurate entry.

The Upsert feature removes the first one, avoids duplicate leads and helps us keep our data clean.

Clean data is the foundation everything else is built on. For a growing institution managing dozens of inquiries a week, this feature alone saves hours of manual cleanup and ensures counselors are always working from an accurate picture.

3. Tracking every campaign, down to the lead

Marketing investments are only as valuable as your ability to measure them. Kingdom of Chess runs Google campaigns to drive registrations and they needed to know which campaigns were actually working.

With hidden fields in Zoho Forms, every form submission carries campaign data. When a lead arrives in Zoho CRM, it comes tagged with exactly which campaign generated it.
