How can I create email templates?

You can create email templates for sending emails to the customers (clients and candidates), and Zoho Recruit users within your organization.

To create an email template:

  1. Click Setup > Templates > Email Templates.
  2. In the Email Templates page, click New Template.

    New Email Template page is displayed.
     
  3. In the New Email Template page, do the following:
    1. Select the Record Type from the drop-down list.
    2. Enter the Template Name.
    3. Select the Template Folder from the Store Under drop-down list.
    4. For the template, add the FromSubjectReply toAdd User Signature details.
    5. If any files needs to be attached with the email, click Choose File and select the appropriate file.
    6. To add a new Attachment Category, click Add and select the appropriate category.
  4. In the Email Template Body section, create the email message body by selecting the appropriate merge fields and copy pasting the merge field values in the template body. Then enter the appropriate message.
     
  5. Footer: As per the CAN SPAM Act, provide an Unsubscribe form (Opt-out) link for users to remove their email ID from your mass mailing list.
  6. Click Preview to view your email.
  7. Click Save.
Note:
  • In Zoho Recruit FREE edition, you can create upto 5 Email templates.
  • In the Standard Edtion you can create unlimited number of Email Templates.
  • You can create a template with 32000 characters.
  • You can give a link to your video in your email template. You cannot embed the video in the template itself.
  • Email Templates are record-specific. It is created for a specific record type.
  • For example, you can create a template for candidates or contacts. When you send emails to candidates, only the templates created for candidate records will be available
