How does MailMagnet work?

MailMagnet is a Zoho Mail add-on which helps you manage and track all your candidate and client contact conversation within your Zoho Recruit account. It scans your inbox and notifies you of emails from your candidates and client contacts, thus enabling you to respond faster. Not just that, you can also view attachments and reply to emails from MailMagnet.

Note: MailMagnet feature will be enabled only if you configure your email account in Zoho Recruit.

To reply to emails in MailMagnet:
  1. On the top right panel of your homepage, click the MailMagnet icon.

    Messages window is displayed with the list of emails received.
     
  2. Click the email to which you want to send a reply. The email details window is displayed.
     
  3. Click the Reply icon and enter your response.

    For more options like Attach from Zoho Docs, Attach from Google Drive etc., click the advance options  icon in the Messages window. Enter your reply in the Send Mail window.
     
  4. Click Send. A message is displayed stating the email has been sent successfully.
    You can add a Follow up Task or Note related to this contact.
     
  5. To add a task, click the Follow up Task link.
    1. In the pop-up window displayed, add Subject, Due Date, Priority, Owner and other necessary details.
    2. Click Save.

      The task details will be listed under the Open Tasks section in the Candidate details page.
  6. To add a note, click the Note link.
    1. In the pop-up window displayed, add Note title and Note Content.
    2. Click Save.

      The note details will be listed under the Notes for this Candidate section in the Candidate details page.

Note:

  • You can click the From address > More to view the respective candidate/client contact details page.
     
  • Attachments with the emails, if any, will be displayed at the bottom of the email details window. Click the Attachment link to view or download the attachment.
  • You can add follow up task to an email by clicking the Add Follow up task link in the Messages window. In the pop-up window displayed, add Subject, Due Date, Priority, Owner and other necessary details and click Save

    The task details will be listed under the Open Tasks section in the Candidate details page.
  • Only if you are the recipient ( i.e. your emails address is in the To or CC fields of the email), you will receive the email in MailMagnet.
  • Group mails, such as info@zillum.com, sales@zillum.com, etc. will not be listed in MailMagnet.
  • The mail magnet will retrieve emails every 3 minutes. 
  • Upto 100 emails will be listed under MailMagnet.
