India is a global hotspot for new tech and unique products. As more businesses spring up in this country, these firms need digital solutions that can help them collaborate flexibly and be more productive.
When it comes to Indian buyers, Google Drive (and by extension, Workspace) and Dropbox often come up as primary options for storage-plus-collaboration platforms for businesses. However, WorkDrive can actually provide greater value for many organizations.
We’ll compare these products’ plans and features and let you decide which option is the most appropriate for you.
The table below differentiates their various features and plans:
With this general overview of the three options out of the way, let's have a look at each feature of these products in depth to determine what is the right choice for a content collaboration platform.
Productivity: Feature width and flexibility
A collaboration platform needs to have features that enhance productivity at work and this is where editing suites, workflows, multi-level folder management, and seamless integration between multiple apps come into play.
Google Workspace performs strongly with its native collaboration suite of Docs, Sheets, and Slides. With an extensive library of file formats, creation styles, and AI assistance, which can all be easily synced to a timeline with Calendar, Google provides a well-rounded and productive experience from the get-go.
The extensive integration store also provides a great deal of options from both Google and other third-party app providers. Google also provides desktop variants of these apps to work offline if the situation demands it.
While Dropbox lacks an editing suite, it still has a basic note-taking tool and file/image annotation and transcription capabilities that’s usable right from the app. It also has a unique image and video editing tool that helps teams work quickly with the help of Dropbox Replay.
Similarly, WorkDrive also provides a powerful native editing suite with Writer, Sheet, and Show, which puts productivity in the forefront and syncs easily to your WorkDrive Team Folders. You can also use integrations to make your workflows function precisely according to your needs.
Alongside the suite, you can utilize quick image annotations, video transcription, and comment translations right on the app itself. WorkDrive also provides Genie, a file syncing tool that connects your files on WorkDrive to your professional tools on your devices and lets you edit them and sync them back without hassle. WorkDrive TrueSync syncs your storage to your device and vice-versa, which helps you keep important content from your Team folders right on your device for offline usage.
The edge: Unique features that differentiate from the pack
Most of the basic features, such as the inclusion of a native editing suite or file commenting and annotations, come up in every collaboration platform. What would make such a platform stand out from the competition? For some buyers, it could be the speed at which it performs certain automated tasks for you, or it could be the combination of multiple features that let you do all your work in one place.
With AI-based tools and assistance being on the forefront for most application sectors, AI in collaboration-based platforms isn’t anything new now. However, how our choices do things differently matter here.
Google’s Gemini AI is already a well-known standalone AI tool that is fully embedded into Workspace’s ecosystem. However, the more interesting part of Workspace AI is in fact Google Vids, a new app in the editing suite that can generate videos based on user prompts. While such video generating apps already exist in the market, having a native app such as Vids already embedded within the collaboration platform means it’ll work seamlessly with the rest of the Google apps, and that is something to look out for.
Dropbox’s Dash AI might feel lacking when it’s doing memory-intensive tasks, but it still performs well for file or video transcription and basic content creation. Similarly, Dash is fully implemented into the platform's search capability and helps reduce time-consuming tasks into quick, digestible workflows that can be started off right from the search bar.
Dropbox’s image editing app, Replay also provides a unique option that syncs screenshot and screen recording apps with Dropbox to let you edit and add annotations quickly.
In addition, WorkDrive’s Zia AI also helps automate several tasks that weren’t possible before. From setting up workflows to assigning the correct Data Loss Prevention policies to new files, Zia can handle repetitive tasks and open up time for more productive activities. Zia is also helpful when it comes to generating assets like images and video thumbnails without having to jump through multiple windows—you can do it right from the WorkDrive web app.
Safety: Security standards and data protection
Google Workspace provides advanced security features and endpoint management with the Business Plus plan. However, higher-level security features such as DLP, security center management, and multi-level encryption are only available at higher-priced plans.
Dropbox’s Advanced plan also provides maximum levels of security. However, many compliance standards such as HIPAA can be switched off based of admin preferences.
WorkDrive provides a high level of security for every user, regardless of their plans. Files are encrypted at both rest and transit, and it’s compliant with several security benchmarks such as HIPAA and GDPR and adheres to industry standards such as SOC Type II and ISO 27001. Data Loss Prevention policies help organizations protect sensitive data by restricting unauthorized access, sharing, copying, printing, and downloading by classifying files and implementing the proper rule set on them and securing them. Data segregation at every level and frequent malware scans ensure your data is not being corrupted at any point, whether it’s from human error or an electronic one.
Affordability: Pricing and storage
We have previously written about how effective budgeting can make or break the way a business functions. In a country like India, whether you're starting off at the grassroots level or have levels of funding done, the costs of setting up your business, obtaining licenses, and hiring employees all add up. Ensuring you get the best tools to work with while not breaking the bank should be a priority for any new firm.
Dropbox’s Advanced plan for team comes in as the most expensive of the bunch at 30USD/user/month and with no localized pricing. However, it does immediately provide 15TB of storage for a minimum of 3 users, and adds an extra 5TB per new active license with a 100GB upload size, which is a pretty standard deal.
Google Workspace’s Business Plus plan comes in at 2050INR/user/month (or 1700INR/user/month if you pay annually) and provides 5TB pooled storage per user. A thing of note here is that this pooled storage can be flexibly controlled based on admin decisions to allocate data accordingly, so every new user license allocates 5TB storage more into this pool. The maximum upload limit on Google is 5TB per file, which might seem odd at a first glance, but thanks to newer licenses adding more storage to the organization’s storage pool, a situation where a large file gets uploaded and fails can be averted.
The most affordable option among the three is Zoho WorkDrive’s Business plan, which comes at 680INR/user/month and starts at 5TB for the team, however it requires a minimum of 3 users to begin with. Its storage also starts scaling at 10 user licenses, with every new user after that point adding 500GB more to the organization pool. However, despite the flexible scaling on its plan, uploads are limited to only 250GB maximum.
